1. Overview

Alerts are notifications that Instabot sends to you when users interact with your bots, or when they have reached certain goals in the conversation with your bot. These alerts act per bot, so you can manage different types of alerts per each one.

There are three options for receiving alerts:

  • Email alerts, that will generate and send an email notification
  • Real-time alerts, that will generate and show a browser notification
  • Mobile alerts, that will generate and show a push notification from the Instabot app

Let's know how each type of alert works and how to configure them!

2. Email Alerts

Email Alerts can be configured on the Bot Management tab and also on the Account Settings tab.

In the Instabot Portal, go to the Bot Management tab and select the bot to which you want to set up the email alerts. On the top menu, click on the option ā€œAlertsā€.

For setting up the email alerts, you have to turn on the ā€œNotificationsā€ toggle and input the following data:

  • When to Generate Alerts, the available options are All Engagements or upon Goal Completion. If you choose upon Goal Completion all current goals defined in your bot will be shown and you will be able to set up which email address will receive alerts per goal. With this feature, you can route these alerts to different teams depending on the goals that the user completed.

  • The Frequency per User, for deciding if you want to receive emails either Once Per User or Every Time. Chose one option from the drop-down list.

  • The Timezone, for sending the alert according to your team's location. Chose one option from the drop-down list.

  • The Email Addresses to which to send the alerts. Enter the email addresses in the ā€œRoute Alerts Toā€ field. You can input several emails here.

2.3 You can also set up email alerts in the Account Settings tab.
On this page, you can see all your active bots and you will be able to set up email alerts for all of them at the same time.

3. Real-Time Alerts

Real-Time Alerts trigger a browser notification that will show up on your computer as soon as a configured action is achieved. You can configure real-time alerts to be generated when:

  • Whenever the bot is launched
  • All engagements with the bot, or
  • Whenever a goal is completed with the bot

We highly recommend using browser notifications if you're using Instabot live chat!
For receiving any real-time alerts you should also confirm that Instabot is allowed to send notifications through the web browser. Please find below examples of how to allow notifications in Chrome, Firefox, and Edge.

Real-time alerts can be configured either by the person who wants to receive the notification from his account in Instabot, or by Admin Users, who can assign real-time alerts to any team member (other Admins or Agents).

3.2 Letā€™s see how to set up real-time alerts by yourself in your Instabot account.
In the Instabot Portal, go to the Bot Management tab and select the bot to which you want to set up the email alerts. On the top menu, click on the option ā€œAlertsā€.

For setting up the real-time alerts, you have to turn on the ā€œnotificationā€ toggle and select an option of when you would like to receive the notification in your web browser.
If you select Goal Completion, you can easily select which individual goals you would like to receive alerts for, just by turning on/off its toggles. Donā€™t forget to save your changes before leaving the page.

In the following example, an Agent called ā€œDemo Userā€ has set a Bot Launch Alert on the ā€œFB Demo Botā€.

3.3 Letā€™s see how to set up real-time Alerts for any team member
In the Instabot Portal, go to the Account Settings tab and click on the option ā€œTeamā€ on the top menu.
Select which user/agent you want to configure the real-time alerts for by clicking on the User Name. From the Edit User page, chose the option ā€œWeb Alertsā€ on the top menu. Select which bots you want to configure the alert for.

In the following example, an Admin goes to the ā€œDemo Userā€ configuration and updates the real-time alert, changing it for triggering the ā€œDemo Requestedā€ Goal Completion.

Please note that when you configure a real-time alert at a user level, the real-time alerts on the Bot Management page will be overwritten with this new configuration for that user.

4. Alerts in the Instabot mobile app

You can also set alerts in your Instabot mobile app.

Download the app in the App Store or Play Store.

Once you have downloaded the Instabot app, go to mobile device settings and confirm that you allow Instabot to show notifications.

After that, open the Instabot app, go to the Settings option, and chose what alerts would you like to receive on your mobile device when users interact with your bots or when they have reached certain goals in the conversation with your bot. The alternatives are:

  • User engaged with a bot
  • User reaches a goal node
  • User in live-chat sends a response
